About the Job
- Greets, receives, and directs all visitors, including employees, clients, and external stakeholders, in a professional and courteous manner.
- Types, formats, and edits reports, correspondence, presentations, and other routine and periodic documents.
- Manages, organizes, and maintains physical and electronic files, records, and confidential documents of the team in accordance with record-keeping standards.
- Facilitates office logistics and administrative support services, including stationery, office supplies, and basic equipment follow-up for the team.
- Organizes and coordinates directorate and team meetings, prepares agendas, takes minutes, and prepares and circulates meeting reports and action points.
- Receives, records, screens, and distributes incoming and outgoing correspondence in accordance with established procedures.
- Drafts routine letters, memos, and internal communications and ensures their timely distribution upon approval and instruction.
- Follows up on outgoing correspondence to ensure timely dispatch and proper delivery to intended recipients.
- Registers, tracks, and files all outgoing and incoming letters and correspondence, maintaining accurate logs and proper filing systems.
- Produces, reproduces, and distributes correspondence, memos, letters, reports, study documents, and other official materials.
- Provides administrative assistance and guidance to visitors and staff and directs them to the appropriate officers or units.
- Develops, updates, and maintains an efficient filing and document-tracking system to ensure easy retrieval and data integrity.
- Supports basic data entry, record updating, and compilation of administrative information for reports and reference purposes.
- Ensures confidentiality and proper handling of sensitive documents and information.
- Performs other related administrative duties as assigned by the supervisor
About You
- Diploma in Secretarial Science, Office Administration, Customer Service Management, or a related fields
- No prior work experience and Coc Level IV is mandatory
- Age shall not exceed 40 years
